- Manage clients’ and visitors’ hospitality, ensuring refreshments are served and their requests are promptly attended to.
- Respond to telephone calls and inquiries, maintaining the reception area at all times.
- Maintain the conference room booking schedule for meetings, client events, and other activities.
- Provide first-line support for audio and video requirements for internal and client meetings.
- Ensure client suites and social zones remain tidy and well-presented.
- Maintain records for office security access passes.
Business Services:
- Provide secretarial and administrative support to fee earners, including document printing, photocopying, and binding.
- Assist with preparing hearing bundles, travel arrangements, and restaurant bookings.
- Cover for absent secretarial team members.
- Liaise with building management and vendors regarding maintenance and repair issues.
- Monitor inventory of pantry, stationery, and other office supplies.
- Handle courier and transportation requests.
- Assist with organizing client seminars, conferences, and networking events by liaising with venues, caterers, and vendors, managing RSVPs, and preparing materials.
- Address ad-hoc requests as required.
