Job Summary:

As a Receptionist & Business Services Assistant at Freshfields, you will serve as the first point of contact for clients and visitors, providing exceptional service and administrative support. This is a dynamic role that combines client care, secretarial tasks, and business services support in a fast-paced environment. You will ensure the smooth running of the reception area, coordinate internal and client meetings, and support the business with various operational tasks.

  • Manage clients’ and visitors’ hospitality, ensuring refreshments are served and their requests are promptly attended to.
  • Respond to telephone calls and inquiries, maintaining the reception area at all times.
  • Maintain the conference room booking schedule for meetings, client events, and other activities.
  • Provide first-line support for audio and video requirements for internal and client meetings.
  • Ensure client suites and social zones remain tidy and well-presented.
  • Maintain records for office security access passes.

Business Services:

  • Provide secretarial and administrative support to fee earners, including document printing, photocopying, and binding.
  • Assist with preparing hearing bundles, travel arrangements, and restaurant bookings.
  • Cover for absent secretarial team members.
  • Liaise with building management and vendors regarding maintenance and repair issues.
  • Monitor inventory of pantry, stationery, and other office supplies.
  • Handle courier and transportation requests.
  • Assist with organizing client seminars, conferences, and networking events by liaising with venues, caterers, and vendors, managing RSVPs, and preparing materials.
  • Address ad-hoc requests as required.
