Anthem is seeking an enthusiastic and detail-oriented Administrative Coordinator to join our team. This role is crucial in supporting our operations and ensuring that our administrative processes run smoothly. As a fully remote position, this role is ideal for someone who can work independently while maintaining high levels of communication and collaboration with team members.

Key Responsibilities:

Administrative Support:

  • Manage calendars, schedule appointments, and coordinate meetings for team members.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items.
  • Organize and maintain digital files and records to ensure data integrity and confidentiality.

Communication:

  • Serve as the primary point of contact for internal and external communication.
  • Draft, proofread, and revise correspondence, reports, and presentations.
  • Facilitate communication between departments and assist in conveying essential information.

Project Coordination:

  • Assist in the planning and execution of projects by tracking progress and deadlines.
  • Collaborate with teams to gather data and provide updates on project milestones.
  • Prepare status reports and presentations to keep stakeholders informed.

Office Management:

  • Support day-to-day operational functions, addressing any administrative issues that arise.
  • Maintain inventory of office supplies and place orders as necessary.
  • Implement and maintain office policies and procedures in alignment with company standards.

Financial Administration:

  • Assist with budget tracking, expense reporting, and invoice processing as needed.
  • Prepare financial reports and summaries to assist management in decision-making.
  • Process travel and other spending reimbursements in accordance with company policies.

Continuous Improvement:

  • Identify and implement innovative solutions to enhance administrative processes.
  • Participate in strategic planning initiatives to support department goals.
  • Stay informed about industry best practices to contribute positively to the team’s efficiency and effectiveness.

Requirements:

  • Education: High school diploma or equivalent required; Associate’s degree is a plus.
  • Experience: No prior experience required, but internship or volunteer experiences in administrative roles are advantageous.

Skills:

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and other administrative software; familiarity with virtual collaboration tools is preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities and work effectively in a remote work environment.
